Planners make events special
By ALICE ADAMS
Employment Correspondent
If you’ve ever attended a convention, festival, wedding, reception or other special event, you probably enjoyed the handiwork of an event planner.
Just ask Robert Shipman, president of Houston’s Haute Soiree or Alfred “Alex” Rasmussen, senior vice president of the Sullivan Group, a Houston-based event-planning and destination-management company.
“Event planning includes budgeting, establishing dates and alternate dates (in case of rain), selecting and reserving the event site, coordinating food and beverages, acquiring any necessary permits, and planning transportation and parking,” said Shipman, a professional event planner since 2001.
Event planning also may encompass some or all of the following, depending on the event: developing a theme for the event; arranging for speakers and alternate speakers; coordinating location support (such as electricity and other utilities); and arranging decor, tables, chairs, tents, event support and security, portable toilets, parking, signage, emergency plans, health-care professionals, and cleanup.
“One of the most important roles for the event planner, aside from the obvious, is being there for the clients, helping them through the initial planning stages, through last-minute jitters and celebrating a successful event,” Shipman said.
For anyone interested in entering this demanding, sometimes nail-biting and rewarding profession, both Shipman and Rasmussen encourage gaining experience through entry-level positions in any related industry, from administrative assistant at an event-production company, as Shipman did, or in Rasmussen’s case, working at a variety of country clubs, which often are venues for special events.
Shipman said formal training, such as that offered by the Conrad Hilton College of Hospitality at University of Houston, also is beneficial for those seeking careers in event and meeting planning.
Who hires event planners?
“Anyone who wants to entertain but doesn’t have the time or the expertise to put the party together,” Shipman said.
Working with corporate clients, Sullivan Group looks not just at the event planning aspect but the marketing opportunities for the event.
“We look at branding opportunities as well,” Rasmussen said. “It’s not just a party. When corporations have meetings and dinners, we look at making it much more than just an event; we look at what those attending will take away. We want them to leave feeling serviced and remembering that corporation’s brand.”
What qualities do successful event planners have?
“First of all, you need to be a master socializer in all aspects of that concept,” Shipman said. “I’m not sure that particular skill can be learned, but you also need extraordinary organization skills, exquisite ability at handling details, patience, strong communication and listening skills, as well as being an adept relationship expert. Without my professional relationships with hoteliers, designers and many, many other vendors, it would be impossible to do this job.”
He finds these close working relationships especially valuable when the client has a sudden change of mind or makes last-minute decisions.
Shipman, who specializes in weddings and other galas, sees his professional expertise as that of helping people make educated decisions about what they do.
“I help them spend their money in the most effective way,” he said.
For those thinking about the industry, Rasmussen recommends speaking to people in the industry with experience.
“Come to an event, work alongside a seasoned planner to make sure you realize it’s not just a glamour job,” he said. “There’s a lot of preplanning, organization and hard work. “
Wedding Trends Luncheon
August 3rd, 2007On Wednesday, the 16th of May, the Omni Houston Hotel at Westside played host to NACE Houston’s First Annual Wedding Trends Luncheon. This monthly meeting broke all records for meeting attendance in the history of the Houston NACE Chapter.
The First Annual Wedding luncheon was Co-Chaired by Summer Hutchens-Colgin of Summer For Your Memories and Robert Shipman of Haute Soiree.
Suzanne Redd of Conde Nast Bridal Media was our guest speaker and she presented her topic “Who is your demographic and how do you reach them?”
The first glimpse of the event to follow arrived to NACE Houston Members as an elegant white square invitation designed and printed on Crane card stock by local Houston stationer Embossed Graphics ran by Charles Leigh III. The outside of the envelope was beautifully adorned with hand calligraphy by Pen Dance Calligraphy and Engraving owned by Maureen Vickery.
As guests arrived at the hotel, the romantic sounds of a string ensemble provided by Avalon music filled the foyer.
The decor theme for the event was one of the hottest of 2007: Black, red, and white. This theme began solidly with black and white linen provided by BBJ Linen. The us of mixed black and white prints on solid black base cloths were used extensively throughout the cocktail area and into the ballroom.
Several Houston area florists, including Rob Smith of Events in Bloom, Lexis Florist, Darryl Murchison Design, and Yvonne’s Floral Delight each created signature arrangements for the space in the deep dark rich red tones with accents of black, white and silver. The arrangements within the ballroom were accented well with pinspotting arranged by Gene Ruple and Gary Archer of Fashionable Events.
A beautiful model in a gown loaned by Louise Blum of Houston strolled the cocktail hour. Our model’s beauty was enhanced by hair and makeup artist Kathy Smith.
Once inside the ballroom the guests were amazed with the meticulous execution of the theme down to the tiniest of details. Each table was square and seated eight guests. Black floor length linens were topped with assorted overlays of white and black prints.
Each place setting was designed using black and white mix and match china from Colonnade Events. Guests were seated in black charivari chairs from Aztec USA. Each centerpiece (mixed designs from the aforementioned florists) were accented by candles from Creative Candles. A wonderfully scrumptious treat for each guest was made by Chocolates by Mark.
The Omni Houston Hotel at Westside prepared a wonderful lunch! Wedding cake was prepared for us by Edible Designs by Jessie while the groom’s cake was prepared by Bobbie’s Cake Creations.
A good time was had by all and a new record was set by the Houston Chapter of NACE.
Absent Blogger
August 3rd, 2007You might have noticed that I have been a little remiss in my blogging from mid April until now. I have been super busy with many projects and I plan on touching back on a few events that have happened in the past few months.
Please take a step back with me as I reveiw some of the highlights of the past few months with me!
Congratulations are in order!
August 1st, 2007On Saturday evening, I was the guest of my friend, Ashley Fay, as we had cocktails with a group of close friends of hers to celebrate the engagement of her friends Tracy and Andy.
The group met at the hip and trendy Monarch Restuarant in the Hotel ZaZa in the Museum District.
We all enjoyed the scene and had yummy treats from the kitchen and inspiration from the bar as the group wished the best for Tracy and Andy.
From there, Ashley and I made our way to dinner at my personal favorite in the city, 17, at the Alden Hotel.
As all my friends are well aware, I dine at 17 as often as I can. I promise, if you are looking for a relaxed, super well serviced dinner in an upscale environment, try 17.
Power Lunching
August 1st, 2007Today I was the lunch guest of Ms. Sarah Dunbar of Damian’s Cucina Italiana and The State Grille. She serves as their Director of Catering and Special Events.
Sarah invited me to lunch with her at Damian’s, a staple on the Houston Restaurant Scene for many years. It had been quite some time since I had been to Damian’s, so this was a real treat.
Sarah and spent our lunch chatting away about our various experiences within the industry and the projects in which we are both working on.
Lunch at Damian’s was wonderful. I began with an Insalata Mista which is one of the signatures of both the restaurant and their catering menus. I followed the salad with the Veal Marsala. Both were excellent. The bread assortment is also worthy of mention. Warm and tender, and oh so yummy.
Sarah is currently proposing the menu for the August NACE meeting which is scheduled for the 15th of August at the House of Dereon. Be sure and do not miss this special NACE meeting as we all celebrate the “Survival” of conference.
April NACE Meeting
April 19th, 2007The Hotel Derek played host to the Houston Chapter of NACE for our monthly meeting on Wednesday, April 18, 2007.
This month’s meeting was designed to be a membership drive meeting combined with a team building exercise for all the new members to get to know the current membership.
The meeting was probably one of the funnest NACE meetings in the recent past. Karen Brown of Karen For Your Memories served as the co-chair of this meeting.
The end result was incredible, we all had a great time, which will be evidenced soon by photos!
